Before booking a tour with Knowdonia, we strongly recommend that you ensure you fully understand and agree to the contents of our terms and conditions (we ask you to confirm this in our questionnaire).
We are always there to assist if you wish to ask us anything - just whizz us over an email.
These Terms and Conditions constitute an agreement between Knowdonia Ltd. (Company number 13058939), whose registered office is situated at Unit 102 Building 7 St. Asaph Business Park, St. Asaph, LL17 0JE (hereinafter called “Knowdonia'') and the Customer using the services of Knowdonia.

Payment & Guarantee
Your credit or debit card details will be required to complete your purchase and a booking confirmation email will be generated, confirming your payment. Visa, MasterCard, Maestro and American Express are all acceptable forms of payment. Full payment, as itemised, shall be debited and your account statement will identify the transaction as “Knowdonia'' but will be processed through “Stripe”. This is a 3rd party payment clearing provider who operate our secure, PCI compliant online booking system and are a UK Registered company (https://stripe.com/en-gb)
Your reservation is only guaranteed once payment has been made. A payment receipt will be issued to you by Knowdonia.
Where payment has not been completed to secure your booking once dates have been agreed, Knowdonia has the right to accept other bookings for the same date(s) should another client request and secure payment sooner. In this case, you shall be duly notified.
Price Inclusions
The rate agreed shall include the services set out by our website (www.knowdonia.com) , the transportation vehicle, a qualified guide/driver, statutory insurance, VAT, all taxes and anything specifically mentioned as included.
Price Exclusions
The rate agreed shall exclude personal insurance, snacks, lunch, beverages, optional activities and excursions, gratuities and any other items not specifically mentioned as being included.
Cancellation terms
You, or any member of your party, may cancel your booking at any time before the start of the experience. The cancellation will take effect from the date that we receive written notification of cancellation from you by email only, not social media channels or alternative methods. In confirming your booking with us, we block out the vehicle from other potential customers using our services. In the event of you cancelling your booking, the deposit paid to secure your booking is non-refundable and non-transferable. Cancellation charges depending on how much notice you give us prior to the first day/day of your booking.
If you cancel your trip more than 5 weeks (35 days) before the first day/day of your booking (i.e. before the balance due date), the cancellation charge will be 40% of the total cost of your booking.
If you cancel your trip less than 5 weeks (35 days) but 10 or more days before the first day/day of your booking, the cancellation charge will be 75% of the total cost of your booking, with a 25% refund.
If you cancel your trip on 9 or less days proper to your first day/day of your booking, then there will be no refund.
In all cases, where cancellation results in us making a refund payment to you, such payment will be returned to the lead and contracting member of your party. This will be the case regardless of which members of the party make the deposit and balance payments for the booking. All refunds will be paid within 10 working days of cancellation.
Insurance for any cancellations
We strongly recommend that you take out comprehensive travel insurance as, if the reason for your cancellation is covered under the terms of your insurance policy, you may be able to reclaim some or all of these cancellation charges. Please speak to your insurance provider, we can't stress this highly enough.
Our policy on viral pandemics i.e. COVID-19
A cancellation by the customer during any period in which it is impossible to carry out the tour successfully due to COVID-19, we will offer an alternative date or, if not possible, a redeemable voucher with a 12-month expiry date.
The above includes a local lockdown, travel restrictions affecting international or national movement, showing symptoms of a virus.
Face coverings
A face covering is required and must be worn whilst travelling in our vehicles. Failure to wear a face covering will not allow you access onto the tour, and no refund will be given.
Children
We welcome children of all ages. The age of the child/children must be notified in advance. Aside from one booster seat, the correct chair(s) needs to be provided by the legal guardian.
Parents should discuss with Knowdonia an itinerary suitable for all ages in the group.
No discount is offered for children of any age, and all children must be accompanied by an adult.
In line with UK law, private hire vehicles do not have to provide child car seats and children can travel without one but only if they travel on a rear seat. Legally the parent/guardian is liable for the child's safety however we do deem it unsafe to take under 4-year olds without a child seat. As a result, we reserve the right to cancel it or if you refuse to see the child under four years of age in a child seat.
Accessibility
Unfortunately, Knowdonia is currently unable to offer special or modified vehicles to accommodate disabled or special needs passengers requiring a wheelchair or other such mobility assistance and/or special seating. It is our intention to operate such a modified vehicle in due course but for the time being please discuss matters of this nature with us prior to booking and we will make every effort to accommodate any accessibility requirements accordingly. We reserve the right to require persons who are unable to travel independently to be accompanied by a companion who is able to provide any necessary assistance and take full responsibility accordingly.
Animals / Pets
Dogs are permitted to be brought along for the day. Full responsibility for your dog(s) remains with the accompanying person, including feeding, hygiene and general control so as not to disturb the other passengers and/or driver.
Passenger Comfort
For the comfort and safety of all our passengers, the use of alcohol, tobacco and non-prescribed drug products is strictly prohibited on our vehicles at all times.
Changing your tour dates
If after confirming your private tour booking you wish to change the date for your tour arrangements we will endeavour to do this for you as long as the proposed changes do not cut into the cancellation period. We cannot guarantee that we will be able to accommodate your changes in dates and any changes will be subject to availability to accommodate your request at the time of enquiring. Provided we can accommodate your proposed changes, there will be no charge to make this amendment.
Adverse weather
There will be no refunds or discounts for particularly good or bad weather. Regardless of what the weather does, the experience will still go. A great deal of North Wales is mountainous, so changing weather is only to be expected.
Knowdonia reserves the right (in our absolute discretion) to cancel tours due to unforeseeable circumstances which we deem only will jeopardise your safety, such as adverse weather conditions i.e. floods, fire, civil unrest etc.
We reserve the right to alter the location and/or plans for the day(s) if the sole purpose of those changes are a better experience for you.
Late arrivals
If a group is late to a pickup, Knowdonia cant extend the day to make up for it. Our tour guides have goldfish to feed and other irons in fires. A glorious lie-in will simply only mean a shorter day for your group, with no time extensions or refunds offered. Please bear in mind that being late to a pick up may affect our plans for your day and therefore your overall experience.
During a tour, it is the passenger’s responsibility to return to the vehicle or group in a timely manner, as agreed with the guide at each stopping point. Every effort shall be made to seek out a late person but in the event of a passenger missing departure, and the remainder of the trip, then the tour will be deemed as cancelled in accordance with our Cancellation Policy above and the full tour price as stated on the booking form shall be forfeited. In such an instance, it shall be the passenger’s sole responsibility to travel further (or return to the tour starting point). No compensation, consequential losses, additional travelling costs or another such claim shall be accepted in such an unfortunate event.
Altering the number of passengers (up or down)
The rate agreed is inclusive of the number of passengers booked to the tour at the time of making the booking. The minimum rate charged is based on 4 people, with an additional rate for each person in addition to that number. These rates differ depending on which experience you have chosen.
In the event that passenger numbers drop, then we will refund fully for each person, down to the minimum daily rate chargeable, as per the booking information on the website.
Responsibilities of the lead booker
All bookings are accepted on the basis that the agreed number of passengers complies with our license capacity for the vehicle. The lead person responsible for making the booking is responsible for all passengers who are booked on the tour. They will be responsible for the conduct and for any damage caused during the tour.
Special arrangements
Any special arrangements and requests must be made at the time of making your tour enquiry. Subject to our agreement, any special agreements will be confirmed in writing and listed on the confirmation of booking.
Health and safety
You are responsible for your own safety and well-being when engaged in activities off of the bus. These are carried out at your own risk.
The group must at all times abide by the directions of the Tour Guide.
Conduct of passengers
Every passenger in a vehicle must have their own seat. Do you agree that all passengers will wear a seatbelt correctly whilst the vehicle is in motion. You must inform the driver immediately if any of the seat belts in the vehicle are missing or not functioning correctly. No liability is accepted for loss or damage suffered as a result of the non-or miss use of seatbelts.
Knowdonia reserves the right to terminate a tour if, in the opinion of the company, the behaviour of a customer or group is, or is likely to be disruptive, dangerous or upsetting to other people or if such they have caused or are likely to cause damage to property.
Knowdonia will not pay any refund or costs incurred by a customer/group in the event that a tour is terminated due to unacceptable behaviour.
In the event that our vehicle is soiled and/or damaged by you or someone in your group, you will be liable to reimburse us all costs reasonably incurred by us in cleaning the vehicle and/or repairing the vehicle. You will also be liable to pay as the sum of £500 for each day or part thereof that the vehicle is unable to be used for our business whilst it is being repaired and/or cleaned
Consumption of alcohol, food and refreshments in the vehicle
Alcohol is not allowed to be consumed on any vehicle by law, and anyone that does not comply will be required to vacate the vehicle. We reserve the right to refuse a reservation or cancel your booking if you or any of the passengers are thought to be under the influence of alcohol or illegal drugs or otherwise considered by us to represent the risk of the driver of the vehicle or affect the enjoyment of the tour by other passengers or road users.
Overall Enjoyment
Knowdonia will not accept responsibility for your overall enjoyment. Whilst every effort will be made to maximise your pleasure and experience, it is accepted that every person’s preference and tastes are unique and it would be impossible to satisfy all of our customers all of the time. However, Knowdonia recognises that its own success is dependent on word of mouth referral and prioritises customer satisfaction accordingly.
Booking accommodation, food and attractions
Whilst we do not arrange anything on your behalf with accommodation, food or attractions, we can assist you with suggestions of where to stay/eat/visit during your wider stay in the area. This will be on an arms-length basis and whilst we can make the suggestions for you, we have no control over the operation of the chosen business you choose.
In booking for any other services through us, we act solely as an intermediary and you enter into a direct contractual relationship with the relevant third-party provider. Each provider will have their own terms and conditions of booking and in the event of any cancellation of the tour arrangements, you will be liable for any cancellation charges that they raise.
We include a number of visits to a variety of tractions as part of our tours. However, all attractions are operated by third parties, which are outside of our control. Therefore, we are not liable for any damages, loss or closures to do with these third parties. We do not include any entrance fees to any tourist attractions or include tickets for railway journeys or include any meals, refreshments in the cost of the tour. We will upon request advise you on the approximate costs.
Disclaimer
Knowdonia cannot be held responsible for any accidental injury/damage that may occur away from the vehicle. Visiting mediaeval buildings often means walking on uneven and slippery services. Please know your and your group's capabilities and don't overstretch yourself. Please check you are probably equipped for a walk with footwear and clothing and take a sensible approach to the weather, which can change quickly. You agree to comply with the laws and regulations and to comply with all reasonable instructions of your guide relating to safety and organisation of the trip.
Images and videos
You can set us using any images and videos taken of you during the tour for advertising and promotional purposes in any medium that we choose to promote our services through. Any testimonials, photographs or content which you have loads of websites or social media channels will be considered non-confidential and non-proprietary unless expressly stated by you in writing to Knowdonia Ltd.
You retain all of your ownership rights in your contents, but you are required to grant us a license to use, store and copy that content and to distribute and make it available to 3rd parties. Uploading your content shall automatically grant us a perpetual, worldwide, royalty-free, non-exclusive license to use, reproduce, distribute and display such content for such purposes as we may reasonably require including, without limitation, for use in our marketing materials and publicity.
Force Majeure
Knowdonia does not accept liability for any event which is out of our control. Such events may include (but are not limited to) war or threat of war, terrorist activity or the threat of terrorist activity, civil commotion or riot, disease, epidemic, pandemic, quarantine, any action taken by a governmental or public authority, industrial disputes, collapse of buildings, fire, explosion or accident, traffic or road conditions or road closures, technical or mechanical breakdown, adverse weather conditions, natural disasters and all similar events or circumstances.
Alterations to itineraries
As part of our terms and conditions, we reserve the right to change tour itineraries due to weather, availability of attractions, roadworks or any other situation beyond our control. Refunds will not be offered in these circumstances.
Insurance
You will be covered by our comprehensive insurance when onboard the vehicle. Personal travel insurance is not included.
We strongly recommend you arrange comprehensive travel, medical and cancellation insurance.
Each customer is responsible for loss of or damage to baggage or personal possessions or consequential loss arising therefrom. In the event of illness or injury then the customer must accept responsibility for any medical costs incurred and Knowdonia shall not be liable to refund any part of the tour cost.
Passenger numbers
As we only operate private tours, it's your tour, so the minimum number is one person. The maximum we are licensed and insured to carry is eight persons.
Breakdown and delays
Knowdonia plans journey times taking into account the possibility of minor delays. However, we cannot be responsible for unforeseen traffic congestion or other events beyond our reasonable control including vehicle breakdown, accidents etc. Knowdonia will not be liable for inconvenience or loss caused to you
Changes To Our Policy
We reserve the right to make alterations or changes to this policy at any time ensuring that the Customers of existing bookings receive the latest copy of the Terms prior to participating in our experiences. Should the revised Terms be unacceptable to a Customer who has pre-booked, the booking may be cancelled without penalty or administration charge within 24 hours of receiving the revised terms.
Licencing
It is our policy to make sure that we comply with the legislation in the UK. We are fully licensed and approved by the local authority of Conwy County Council and in order to get these licenses, we have to provide adequate insurance cover for operating our tour services. Our vehicle is also licensed and checked for safe operating.
Insurance and liability
Knowdonia has a fully comprehensive Hire and Reward car insurance policy with QBE Insurance Group Limited (Policy No. 00036214MBP). This policy also includes Public Liability cover.
Knowdonia accepts no liability for loss, damage, delay, inconvenience, or direct or consequential loss, however caused, unless due to our negligence, in which case our liability is limited to a maximum of the tour cost.
Knowdonia will use all reasonable means to ensure that they adhere to the agreed schedule and will not incur any liability whatsoever in the event of any delay due to causes or circumstances beyond its control i.e. weather, roadworks, availability of attractions, any other situation beyond our control.
Knowdonia does not accept liability for any 3rd party suppliers and/or services.
Smoking
Smoking (including e-cigarettes) is not permitted in the vehicle but there are frequent stops for those who wish to.
Complaints
Any complaints should initially be directed to your guide who will make every effort to resolve the problem. In the event that a complaint cannot be resolved on the day of the tour then it should be made in writing within 5 days to hello@knowdonia.com.
Governing law
This agreement is governed by the law of England and Wales. All disputes shall be submitted to the soldier restriction of the English courts. By making a booking with us, you agree to be bound by our terms and conditions.
There is no minimum age for our tours, but passengers under 18 years must be accompanied by an adult.
Your booking includes your personalised itinerary, two private drivers/guides at your disposal, all car costs, pick-ups and drop-offs at your preferred locations, as well as water and snacks throughout the tour.
Your booking does NOT include accommodation, meals, ferry crossings or entry fees to visitor attractions.
